What this section is for
Classify tasks as capital expenditure (CapEx), operating expenditure (OpEx) or mixed. Rules use task type, repository, labels and branches. You can correct a classification manually with a recorded reason. Agree the rules with finance; calculating amounts also needs recorded hours and an applicable team rate.
When to use
- When preparing a cost report for a month, quarter or year.
- When setting up the classification policy with finance for the first time.
- When an auditor asks how a specific number was arrived at.
Quick start
- 1Agree with finance which tasks belong to CapEx, OpEx or mixed costs.
- 2Create a financial period (month, quarter or year).
- 3Build rules with priority order, matching on work item type, repository, label and branch patterns; use mixed with a CapEx percentage where the split is genuinely partial.
- 4Check classifications, recorded hours and the team hourly rate. Correct errors with a reason, then generate the report.
Key settings
| Setting | What it does | How to use it | Common mistake |
|---|---|---|---|
| Rule priority | Higher priority rules are evaluated first, and the first match wins. | Place specific rules above general ones and record why you chose that order. | Putting a general rule first, so matching tasks never reach the more specific rules. |
| Matching patterns | Work item types, repository, label and branch patterns that decide when a rule applies. | Start with precise patterns. Add wildcards after checking the results in the classification table. | Classifying all work from a branch name without checking whether that matches the accounting policy. |
| Close period versus lock period | Classifications can still be corrected after closing. Locking prevents further changes and report regeneration. | Review the report with finance before locking. A lock cannot be undone. | Locking before correcting errors in hours, rates or classifications. |
Usage example
Scenario: Finance needs a quarterly report splitting costs between CapEx and OpEx.
- 1Create the period and check task classifications, recorded hours and applicable rates for the quarter.
- 2Filter the classifications by source to see what was automatic and what was overridden, and fix the misclassifications with a reason recorded on each.
- 3Generate the report, review the breakdown by classification, work item type and user, then close the period.
What this shows: The report shows amounts by category and the data used to calculate them, with reasons recorded for manual corrections.
FAQ
Why is a work item unclassified?
Check whether an active rule matches and classification has run. Add a rule or set a classification manually if needed.
What does a mixed classification mean?
Part of the cost is CapEx and the remainder is OpEx. The CapEx percentage is set in the rule or manually and should follow the agreed accounting policy.
Can I reopen a locked period?
No. A locked period cannot be changed or have its report regenerated. Check the data before locking.
Tips
- Amounts require recorded working hours and one applicable hourly team rate in USD without restrictions to individual people. Git activity windows are not used as financial hours.
- If no rate applies, or several do, the cost remains unknown and report generation is blocked. Correct rates or hours and calculate again.
- Mixed cost is already allocated to CapEx and OpEx. Do not add it to the total a second time.
- Review older reports and regenerate them for unlocked periods if needed. Frequent manual corrections are a reason to review the rules with finance.
